Job Title Office Administrator Job Description To provide administrative support to a small geological consultancy working in the oil and gas industry. The role requires someone who is capable of working unsupervised to process invoicing and payments, arrange business travel & meetings, manage the re-supply of the office and also provide secretarial support to the rest of the team where required. There are also many ad-hoc jobs which the role will require you to take on in support of the consultancy, ranging from ordering data, tracking its delivery and co-ordinating report-writing, to sending out the post and products to clients. The nature of the company means that there will be many jobs small and large. The role requires 15-20 hours per week, ideally but not necessarily, over five mornings. The company chose to base itself in picturesque surroundings and prides itself on a friendly atmosphere which it is vital to maintain. Responsibilities General secretarial support: handling incoming phone calls, post and email; booking flights and hotels for travelling staff and visit. Organising couriers and taking packages to the post office. Office management, handling phone contracts, insurance etc., ordering stationary, liaising with external contractors. Preparing and issuing invoices, organising payments, chasing payments, liaising with external accountants. Maintaining corporate documents and records, both digital and paper, in good order. Assisting with the preparation of technical reports and presentations. And, from time to time, anything else that supporting a small office can involve from making the tea to feeding the fish! We're looking for someone with the following Good communication skills are essential, particularly as several staff work from home and we have partner companies around the world. A willingness to work within a small team. Good IT skills, particularly with Microsoft Windows and Office applications (Word, Excel, PowerPoint) Some experience of accounts would be an advantage. An ability to work to deadlines is a must.
